Clinvoo ("we", "our", "us") is a healthcare technology platform that provides appointment management and patient communication tools for clinics and doctors. We respect your privacy and are committed to protecting personal data handled through our platform.
1. Information We Collect
Clinvoo collects only the data necessary to operate its services.
Patient Data
- Name
- Phone number
- Appointment date and time
- Clinic and doctor associated with the visit
- Service-related WhatsApp messages (utility and visit-related only)
Clinic & Doctor Data
- Clinic name, address, phone number, and locations
- Doctor name, specialty, biography, and services
- Availability schedules and consultation fees
- Images uploaded by the clinic or doctor
- Internal assistant email addresses (used only for clinic operations and not publicly visible)
Clinvoo does not collect marketing data and does not sell personal data.
2. Purpose of Data Use
- Manage appointments and clinic queues
- Send appointment confirmations, reminders, and visit updates
- Enable communication related to a patient’s clinic visit
- Improve clinic operations and patient experience
- Maintain platform security and reliability
All communications are service-related and sent with patient consent.
3. WhatsApp Communication & Consent
By providing a phone number during booking or clinic interaction, patients consent to receive service notifications via WhatsApp related to their visit.
- Messages are utility-only (not marketing)
- Communication occurs with the doctor’s knowledge and approval
- Patients may opt out at any time by selecting an opt-out option provided within the message flow
Clinvoo uses official WhatsApp Business APIs through approved providers.
4. Data Storage & Security
- All data is stored securely on Firebase / Google Cloud infrastructure
- Access is protected through authentication, authorization, and security rules
- Clinvoo applies technical and organizational safeguards to protect data
5. Data Access & Sharing
- The clinic and doctor associated with the patient
- Authorized clinic assistants (for internal operations only)
- Clinvoo system administrator (for technical maintenance and support)
- Partner pharmacies only when the patient explicitly opts in
When a patient opts in to pharmacy assistance, limited information such as name, phone number, and location may be shared solely to enhance communication and improve prescription handling, and only with patient approval.
Clinvoo does not share data with advertisers or unrelated third parties.
6. Data Retention
Clinics and doctors may request access to, export, or download their data at any time. Upon termination of their use of Clinvoo, clinics may request deletion or export of their data, subject to legal and regulatory requirements.
Patient appointment data is retained only as long as necessary to provide the service, comply with legal obligations, or resolve disputes.
7. Your Rights
Patients interact with Clinvoo as part of a clinic appointment workflow. Clinvoo does not provide direct patient accounts.
- Access basic appointment-related data handled through the platform
- Request correction of incorrect contact or appointment details
- Withdraw consent for WhatsApp communications at any time
